Step 1 - Posting Announcements

Posting a simple announcement in #interview-alert or communication directly with an applicant are your two options on alerting applicants that are awaiting a interview. A simple message such as below is a great example to follow.

Step 2 - Beginning Audio Recording via Discord Bot

To have the bot join the discord channel and begin recording, utilize the /join command in the #commands discord channel. This will begin the recording immediately.

Step 3 - Beginning an Interview

There are two ways to start a interview within the Human Resources Portal. The first way being mentioned in Example 1 and the second being mentioned below on Example 2.

Example 1

From the Training & Interview Page, you can see all applicants who require a interview with their duration as a applicant. Simply, click the blue speaking icon and it will open a Pre-Interview Stage page prefilled in.

In Example 1(b), the date of birth, name, and department are editable. Please be sure to input the applicants date of birth referring from their application. Also, change the name, dob, or department if requested and approved from the applicant.

Example 2

The second option is located in the same location as above in Training & Interview. Simply, click Create a Interview and you will be prompted to the list of Applicant's to drag into a drop section. Drag and drop the applicant into the box, and everything will autofill. Same as above, you can edit the fields that are most necessary.

In Example 2(a), the date of birth, name, and department are editable. Please be sure to input the applicants date of birth referring from their application. Also, change the name, dob, or department if requested and approved from the applicant.

Be aware that as soon as you click the button the portal timer will immediately begin. This timer is used to know how many minutes you need to save in the discord bot recording.

Step 4 - Reading the disclaimers prior to resuming recording

Reading the disclaimer is required to do before resuming to record. Please read it fully, and make sure they understand and agree.

Be sure to properly fill out the information according to the applicant!

Step 5 - Stopping Recording & Uploading Recording to Portal

  1. Firstly to stop the recording, locate the #recording-logs channel and type /save (amount of minutes according to interview form timer) (customname).

    1. Custom Name Format: [name]-[date] (Ex. cwilliams-6-13-24)

Please be sure to record the entire interview and putting the approximate amount of minutues in the /save command. You can use the portal with a timer on the top right of the page, or a stop watch for an accurate duration of the recording.

  1. Then extract the recording by downloading directly from recording log.

Step 6 - Interview Concluded

You will then be prompted to a green check or a red icon. Select the one that's based off your decision of the interview outcome. Then after, a popup where to upload the recording will appear.

Step 7 - Interview Concluded (Website)

Simple use the macros (reference Activate Website Macros) to complete the application and process or deny it if the interview was denied.
